Transforming enterprise HR software into an intuitive, consumer-grade self-service experience.
Executive Summary (Quick Scan)
The Challenge
Legacy HR tools had a 4.2-minute average completion time for leave requests, 14 manual payroll queries per day to HR, and buried GCC compliance rules causing legal risks.
The Solution
Redesigned the platform with a natural-language leave builder, transparent interactive payslip architecture, and automated pre-payroll health checks.
The Impact
65% increase in employee self-service adoption, leave completion time dropped from 4.2 min to 43 sec, and 5x faster payroll processing for HR admins.
01 · The Context & Domain Friction
UBIQHR is a modern HR & payroll cloud SaaS platform designed for high-growth enterprises in the UAE and GCC region. It integrates payroll automation, attendance timecards, leave management, and localized labor law compliance (Gratuity calculations, Wage Protection System - WPS, and statutory leaves).
The product balances two divergent user mindsets: overburdened HR administrators who need rapid data validation, and regular employees who only visit to check pay or book time off.
02 · Problem Space & Conflicting Mental Models
Traditional HR software is notoriously cumbersome, causing high support burdens for HR and extreme frustration for employees.
Complex Leave Workflows
11 steps across 4 modal screens required just to request a single day of annual leave.
Cryptic Payslips
Opaque net salary displays caused dozens of monthly support tickets asking for deductions breakdown.
Manual Payroll Reconciliations
HR admins manually cross-referenced spreadsheets and attendance logs, resulting in frequent error cycles.
User Personas Mapped
Core Goal: Process monthly payroll for 350+ employees without compliance errors or delays.
Major Friction: Spent days manually checking missing timecards and correcting leave conflicts.
Core Goal: Quickly submit leave and verify salary breakdown on payday.
Major Friction: Could never figure out remaining balance or why deductions occurred.
03 · Discovery & UX Principles
Discovery Inquiry
Audited the existing 84-screen legacy system. Interviewed 6 HR directors and surveyed 28 employees across diverse roles (corporate executives, warehouse staff, retail store teams).
Key Insights
78% of all employee logins were solely for two actions: viewing payslips and requesting time off. Designing the best payslip and leave flow would solve 80% of perceived software friction.
Design Principles
- •Conversational Simplicity: Replace dense form grids with natural human phrasing.
- •Transparent Financial Hierarchy: Never hide deductions or statutory withholdings.
- •Proactive Error Prevention: Catch payroll discrepancies before submission, not after.
04 · Core Feature Iterations & Trade-Offs
Real product decisions showing what failed in early testing and how we solved it.
Natural Language Leave Request Sentence
Traditional date-pickers, leave type dropdowns, and reason boxes created cognitive fatigue and frequent validation errors.
Constructed an interactive natural sentence: 'I want to take [Annual Leave] from [Oct 12] to [Oct 16] with [2 Days Balance remaining]'.
Cut leave request completion time from 4.2 minutes to 43 seconds.
Transparent, Interactive Payslip Breakdown
Hiding detailed calculations behind sub-menus caused 14+ daily queries to HR on payday.
Designed an open, visual breakdown categorized into Basic, Allowances, Overtime, and Deductions with tooltips explaining calculations.
Reduced payroll-related HR helpdesk tickets by 60% within 30 days.
Automated 'Payroll Health Check' Diagnostic
HR admins had to run payroll, discover errors, roll back, and retry 3 to 4 times every month.
Built a pre-flight validator that flags missing attendance, unapproved leaves, and salary spikes before processing.
Reduced payroll revision cycles from 3.2 iterations to 1.1 per month.
05 · Design System & Scalability
UBIQ UI System
Clean, human-centered component library with localized RTL/LTR bilingual support (English & Arabic) and accessible typography scales.
06 · Business & User Impact
"Created a frictionless HR SaaS experience that employees love and administrators rely on."
UBIQHR achieved market-leading adoption in the UAE enterprise sector, earning praise for eliminating HR training requirements and making company administrative workflows effortless.
07 · Retrospective & What I'd Do Differently
"I would dedicate more design focus earlier to the data migration and initial company onboarding wizard. While day-to-day UX was celebrated, initial bulk employee import and pay grade setup had steeper learning curves that we later refined in V2."
